Joining a Team Guide

Getting a team together in EventR can be done in many ways.

Add a team member from the App Screen

Most organisations will use a centralised user creation process. In the App use the team page and then green add team member button. This can be disabled by the permission system, and also via a general disable admin features function in Administration->Settings in the ECH.

The screen presented gives a number of options:

• Travelling with me
• Sharing some of my itinerary
• Making their own plans.

Entering an email address and tapping "Send invite" will send an email to the person who can click a link and join. Until that time they will appear with just an Email Address, as they will be required to enter their name. They will automatically be assigned the activities selected by the choice made of how to add them.

The second way to invite people as an administrator centrally is via ticking them on the user screen and pressing "Send Invite". This can be used to batch invite people. In addition these people will have full names and details from the start and can be added to itineraries before during and after the invite process (allowing to you work on an itinerary to completion before inviting the team).

If the user is already an EventR user the will be added instantly to the team.

User Led

The second route involves the user requesting to join a team. This process can happen in a number of ways. In the App the "Copy Share Link" button will create a url that is put on the clip board that can be pasted into an email, chat etc. Any user that clicks on this link will create a join request that appears in the ECH on the User->Access requests screen, or in the App in Account->Access Requests. A user with sufficient rights must then accept that request for them to be joined.

The second way is to scan the QR Code that appears under the Copy Share Link button when pressed. This link works the same way.

IMPORTANT: Note the link follows the rules of the selector at the top of the screen, so people will be added to the selected activities if they are admitted.

Finally if a user is created for the first time, if they opt not to create a team, they will create a join request for the team they have chosen to join.
