How to build templates - activites, documents etc

Templates are easy to create in the EventR Coordinator Hub. They are a very powerful feature that allows you to create component parts of complex plans and reuse them over and over.

How to Create a Template Itinerary

First create a new itinerary for your template activities. Set a start date and range - this will be used as the offset, so picking 1st Feb means that every activity with a 1st Feb start date in the itinerary will be copied to day one in the destination itinerary if you select the start date of the destination itinerary.

Add an Itinerary Tag called "Template" to it. This will enable you to keep your Templates away from the other itineraries.

Now add all your activities to the itinerary you wish to reuse. Make sure they are in a logical Day 1 - Day 2 - Day 3 order if working on multi-day templates.

You're done - you've created your first template!

How to use your Template Itinerary

There are two ways to use it:

The first way is to use the "Copy from Existing Itinerary" on the Event Information screen that appears when you add an itinerary. This will allow you to copy the entire template as a new itinerary, offset to the the new start time.

The second way is the more granular approach of copying individual activities out of the template. To Do this go to your template itinerary, and open the side bar on the category you wish to use and select the "Copy to..." at the bottom. Click on on it and select the entries you wish to copy. Now click on the Copy icon, and select the itinerary with the date you want the items to appear. This is where the Day 1 Day 2 Day 3 ordering comes into play. Items will be copied with the correct offset from the start of the source itinerary. The timezone, unless overridden, will be changed to match the itinerary timezone for all copied activities. If it is overridden it will stay the same.
